Architecture Project and Practice Administrator in Clerkenwell Job

An established architecture firm in Clerkenwell is seeking a Project and Practice Administrator to assist with the following:

Project Information and Data Management

  • Maintenance of the document control systems
  • Feedback and development of working methods relating to document and data administration
  • To set up filing systems for new projects and maintain them both electronically and hard copy
  • To archive documents and drawings incrementally on projects, hard copy and electronically
  • To manage the document flow for projects in accordance with document management principles
  • To receive incoming hard copy drawings and documents and record as appropriate
  • Issue hard copy drawings and documents, checking drawing numbers, revision numbers, distribution, date onto issue sheets
  • Issue electronic drawings and documents, upload and download drawings and documents onto and from extranets on various projects
  • File electronic and hard copy drawings and documents on live projects as appropriate
  • Complete, issue and file issue sheets or transmittals
  • Raise awareness of systems and software capabilities with project teams
  • Assist in developing document standards and protocols to improve data management effectiveness
  • Assist with project ‘template’ documents (such as schedules, project programmes etc) and benchmark reference documents
  • Check live/published project data for compliance with the office QMS
  • Check live/published project data for compliance with the office CAD standards
  • Check live files for compliance with the office BIM standards

Project Administration

  • Support the effective administration of projects
  • Photocopy documents as required
  • Maintain project diaries
  • Attend and assist with meetings when necessary
  • Arrange courier collections and deliveries
  • Maintain project contact directories on CMAP and Newforma
  • Bind presentation and other documents as required
  • Prepare CD/DVD’s for issue
  • Scan images, sketches and practice’s press cuttings as required
  • Join regular team meetings when required
  • Day to day administration of the system, including adding and training users

Office Administration

  • Answering incoming telephone calls – taking and forwarding messages
  • Responsible for Oyster cards distribution and return, logging the use on spreadsheet
  • Monitor stationery and consumables, notify reception to request order
  • Help cover reception duties during Receptionist absences. Including meet and greet visitors, organise the provision of refreshments for meetings, carry out ‘housekeeping’ of meeting rooms and reception area, distribute mail, accept incoming deliveries and organise outgoing post

IT Support
IT duties would be as follows:

  • Move and setup PCs around the office as required
  • Move telephone handsets around the office as required
  • Perform basic network patching as required
  • Under direction, assist the ICT team as required.

Additionally, in terms of ‘nice to have':

  • A basic understanding of Microsoft Windows 7 / 10
  • A keen interest in gaining more ICT knowledge and experience

The right person would have previous experience working with construction/architecture projects and supporting these teams. It would suit someone who wants more variety to their role but still take ownership of document management and general project support. Good knowledge of IT or interest in expanding basic knowledge is a must.
