Office Manager for Architecture Studio in West London Job

An architecture and design studio in West London is seeking an Office Manager/ PA/ Accounts admin assistant to support their team of 20 people.

Duties and responsibilities –
1. Input data into Excel spreadsheets for office cashflow, job costing and resource against fee income calculations
2. Combine timesheets for resources spent on projects as required
3. Raise invoices and send out at end of month as instructed
4. Chase overdue invoices as instructed
5. Manage petty cash and reconcile at the end of every month
6. Check purchase invoice against delivery notes
7. Organise credit card file as instructed by accountant
8. Manage leave register
9. Manage the office diary and Principal’s appointments diary
10. Answer phones, take messages and message staff if they are out of the office
11. Book flights and accommodation for office trips as necessary
12. Ensure A4 and A3 file labels are current, liaising with job runners
13. Order stationery and office equipment as necessary
14. Contact remote IT support as necessary
15. Make teas and coffees for meetings
16. Update QA manual
17. Organise staff training/ CPD
18. Support project teams with admin tasks as appropriate

This role is for a resourceful administrator who has excellent multi tasking abilities and to be able to help out in many capacities when supporting a small and busy team.
