PA to Director for Architecture Practice

One of the UK’s leading Architectural Practices is seeking an experienced PA to assist one of their Directors for a 9-month contract. The practice specialises in architecture in arts, conservation, education, and more. This role is a great opportunity for a dedicated PA to work in a challenging and rewarding environment.

Key responsibilities:

  • Extensive diary management
  • Travel booking
  • Oversee the director’s inbox, responding to emails when necessary
  • Proactively arrange catch up meetings with the director to review their diary and tasks
  • Be the first point of contact for the directors’ calls and client visits, acting as gate keeper
  • Liaise with existing clients and develop relationships
  • Liaise with overall administration team on in-house projects and director’s related work
  • Assist the director with internal and external presentations for events and talks
  • Type and format all correspondence as well as dictating emails
  • Arrange site visits with contractors and building managers when necessary
  • Manage all paperwork – bind, scan, post and file using centralised document management system
  • Prepare monthly expenses while following internal financial process procedures
  • Engage, assist and delegate tasks to the PA support and team coordinators, ensuring cover when necessary and keeping a friendly and positive environment

Key skills:

  • At least 5 years’ experience working in a PA/Team Support role at a senior level within the creative industry
  • Excellent organisational skills with an extreme attention to detail and accuracy
  • Ability to multitask, work under pressure and meet constantly changing deadlines
  • Proactive with the ability to work autonomously and make decisions
  • Strong team player with a friendly, personable and flexible approach
  • Excellent written and verbal communication skills
  • Proficient in MS Office
  • Proficient in InDesign (desirable but not required)
