Sales Admin / Bookkeeper for Bespoke Lighting Design Studio

A bespoke lighting design studio is seeking a creative sales admin/bookkeeper to join their team. The studio is known for its contemporary and high-quality work and is rapidly growing their international brand. They are looking for someone who appreciates design and creativity as well as understands and enjoys administrative duties in sales, finance and bookkeeping.

Key responsibilities:

  • Generate monthly sales reports for team members, including royalty reporting and intrastat/EC sales lists
  • Manage any customer queries including sales orders, general information and product claims via phone and email
  • Process returns via internal software
  • Process payments and order confirmations
  • Manage quotes and pro-forma invoices according to client specifications
  • Oversee and manage studio expenses including staff expenses, petty cash, credit card management and reconciliation
  • Prepare payments in accordance with agreed terms
  • Chase invoices and debts
  • Manage and maintain purchase orders and pro-forma payments to ensure all POs are raised with correct information for future deliveries
  • Review purchase ledger balances and manage any follow up with suppliers
  • Ensure all orders are properly done via pricing and authorisation
  • Act as bookkeeper for the company’s accounts
  • Manage reconciliation of bank and sales accounts
  • Prepare and submit VAT returns
  • Regulate balance sheet reconciliations
  • Work alongside the accountant for monthly and annual accounts duties

Key Skills:

  • Proficient in MS Office
  • Knowledge of accounting/ERP systems, NetSuite and Xero desirable
  • Proven experience within a similar role in the design industry with bookkeeping and sales
  • A proactive and self-sufficient approach to your work
  • A knack and appreciation for establishing and maintaining systems and processes
  • Keen to learn and continuously develop
  • Excellent time management skills and attention to detail
  • Strong written and verbal communication skills
  • Highly organised with the ability to multitask
