Studio Manager for Design-Led Architects

A widely published and design-led London Architecture practice is expanding and is looking to add an experienced Studio Manager to their team. The practice is internationally renowned for delivering innovative and research driven designs across all disciplines from urban regeneration and masterplanning to public buildings for the arts, higher education and housing. The Studio Manager will be responsible for the efficient and safe management of the practice, ensuring the well-being of staff and clients, and the smooth running of the office across HR, IT, Facilities and managing the office administration.

Key areas of the role:

Human Resources

  • Managing the recruitment and hiring of new staff
  • Coordinating and managing staff appraisals
  • Running staff inductions and internal training
  • Overseeing and coordinating benefits and managing staff leave
  • Monitoring time sheets and staff holidays
  • Maintaining and managing HR files in the office project and resource management system
  • Overseeing health and safety including fire marshalling

IT Management

  • Liaising with external IT support
  • Monitoring backup systems and software licenses
  • Managing printers, supplies and maintenance contracts

Quality Management

  • Managing and maintaining the Quality Management System including ISO 9001 scheduling audits

Studio Management

  • Ensuring company policies are maintained and up to date
  • Maintaining excellent office standards and ensuring a tidy environment at all times
  • Overseeing ad-hoc projects such as office renovations and desk moves
  • Maintaining company supplier contracts
  • Administrative duties including answering calls, greeting clients, preparing meetings, managing office supplies, equipment and post
  • Taking minutes for practice management meetings
  • Arranging CPDs
  • Assisting with petty cash and credit card reconciliation
  • Arranging complex travel for the teams

Key Skills and Experience:

  • Prior office management experience, ideally within a creative or design environment
  • Excellent working knowledge of Microsoft Office, including Excel
  • Fully proficiency in InDesign and Photoshop would be an advantage
  • Excellent communication skills, both verbally and written
  • Strong attention to detail
  • Highly organised, proactive and professional character
  • First Aid training would be a plus
