A vibrant architectural practice is seeking a Team Coordinator for their London based team. The widely-respected practice has recently won numerous design awards and competitions for their commercial awareness across the arts, conservation, planning and commercial sectors. The Team Coordinator will stand as a central member of the practice providing first class support to project teams, allowing them to fully concentrate on delivering exceptional designs.
Key Responsibilities of the role:
- Managing the diaries of Associate Directors and project teams
- Organising complex international travel arrangements
- Managing and responding to inbox enquiries on behalf of Associate Directors and Associates
- Acting as a key point of contact for internal and external design teams
- Arranging meetings, booking venues and ensuring meetings take place in a smooth manner
- Assisting the Associate Directors and Associates with their practice management responsibilities
- Setting up internal design reviews, inviting panel and issuing records
- Creating and formatting project-related correspondence or practice development paperwork, including letters, memos, minutes, reports, agendas and certificates
- Keeping the document management system up to date with project information, contacts, key documents, correspondence and filing emails
- Assisting with design reports using InDesign, importing images and proof-reading content
- Assisting project teams with ad-hoc project administration tasks, such as schedules, programmes, room data sheets and archiving, expenses and purchase orders
- Sourcing information on existing projects for bids and presentations
- Preparation and assembly of documents for meetings, submissions, presentations, including printing, binding and scanning
- Supporting the project leaders managing the holiday and absence spreadsheet
- Arranging building tours and project team get-togethers
Key skills Required:
- Prior experience from a similar support role in Architecture
- Advanced knowledge of Microsoft including Outlook, Word, Excel and PowerPoint
- Excellent working knowledge of Adobe InDesign and Photoshop
- Excellent standard of written and verbal English and ability to communicate at all levels
- Proactive approach and strong organisational skills with the ability to co-ordinate numerous tasks simultaneously
- Ability to use initiative and work well without supervision, making judgement calls on behalf of project leaders
- A motivated, punctual and flexible attitude, with a cheerful and helpful personality
- Ability to work well under pressure in a fast-paced environment
